Build structured application forms with questions, submissions, and role mappings.
Set it up
- Open Forms & Applications and enable it.
- Create a form command with fields and optional reward behavior.
- Review submissions from the dashboard.
Assign responses to connected server reviewers or leave them unassigned. Filter by reviewer and status, and sort by newest, oldest, status or reviewer. Save named filters to your account and load them by name on another device. Your List or Board preference follows your account. Edit answers in response details; uploads stay read-only and edited answers show (edited). Deleting a response permanently removes its answers, files and notes; cancel interviews separately in Calendar. Status colours always appear with labels. Select responses to change their status together. Q can assign reviewers, sort the response list and change several statuses after approval.
Review responses and schedule interviews
- Open Calendar (in Qare, or the Calendar tab in Forms) to view interviews and events by month, week, agenda, or line. Week shows an hour axis; drag a confirmed event to a new time (long-press then drag on a phone), or open it and edit the time by hand.
- Click an event for every action: edit, resend, cancel, or delete. On a repeating event or an interview with several times, choose between only that one and all of them.
- Manual events can repeat every day, week, or month. Add a second time zone to see every event time in it too.
- Your account > Profile > Time format: Auto (Follow language), 12 hour, 24 hour. Use the same format throughout Qreate.
- Participants and the voice channel are picked by search, not typed as ids. Each participant's RSVP (Going, Maybe, Not going) shows on the event sheet, answered from buttons on their Discord invite.
- An applicant can tell you a confirmed time does not work, and the interview comes back to you for new times.
- Staff can edit submitted answers or delete a response. Edited responses are marked as edited.
- Applicants can decline offered interview times with a note, so staff can offer new times.
- Unselected interview times close automatically before they start, based on the schedule setting.
Run actions automatically on a status
- Open a status's Rules in the form's Settings tab to give or remove a role, post in a channel, DM the respondent, or call a webhook the moment a response reaches it.
- Calendar has the same idea for an event's outcome (done, cancelled, or declined), set from the Status rules button on the Calendar page.
- A status rule runs once per response or event and never twice for the same transition. If you need a delay, a condition, or several steps, build it in Automations instead; the status editor shows how many Automations rules already watch this form.
Good use cases
- Staff applications with review questions.
- Partnership requests with contact and audience fields.
- Event signup forms with availability and role preferences.
- Badge or reward claims that staff need to verify.
Builder rules
Each form is a command-driven flow. Keep the command name short, keep required questions near the top, and use role mappings only for outcomes you actually want automated.
Staff application example
Command: /apply-staff
Fields:
- Age / timezone
- Why do you want to help?
- Previous moderation experience
- Weekly availability
- What would you do during a raid?
Outcome: staff review, no automatic role until approvedWhat to know
- Forms use a builder layout; do not treat every question as a separate module.
- Role mappings should use the shared role picker.
- Open a response and choose Arrange interview to offer the applicant several times or set one. They pick on a Qreate link, and every meeting appears in the Calendar.
- Reminders go out 24 hours and 1 hour before, to the applicant and to whoever on staff arranged the interview (and to any other participant added through the picker). The event sheet in Calendar lists exactly who under Reminders go to.
